American Arbitration Association is hiring a Case Assistant with experience of 1 to 3 years to join their office in Singapore.

Role and Responsibilities
- Supports case administration services, including document upload, data entry, filing, copying, binding, scanning, and handling awards.
- Answers client inquiries/emails regarding the AAA-ICDR and monitors the Asia CMC e-mail account.; maintains and communicates with panel and advisory group members, including Asia Advisory and India Advisory; responds to inquiries.
- Serves as a receptionist for the office, maintains calendar, and obtains and coordinates appointments and scheduling matters.
- Manages vendor relationships, schedules maintenance of office equipment, and liaises with building management and headquarters on facility management.
- Maintains office supply inventory and, tracks invoices, coordinates billing/invoicing, and compiles month-end reports.
- Ensures confidentiality and adheres to the AAA's information security and data privacy policies, procedures, and practices.
- Assists with and Coordinates logistics for regional training programs, meetings, and events in Singapore, including identifying and working with vendors, editing materials, managing attendees and budgets, and ensuring events run smoothly on-site.
- Maintains and updates the Director and VP's bios and responds to requests for materials regarding the Director/VP and organization.
- Assists with organizational logistics related to ICDR meetings, conferences, events, and arbitrator/mediator training.
- Works with marketing and legal departments to assure content is in line with corporate policies.
- Creates content, designs flyers, webinars, and email communications, and executes strategic follow-up on LinkedIn posts to maximize visibility and engagement.

- Makes travel arrangements for VP, ; assists in obtaining travel visas; manages VP's calendar, responds to incoming calls and emails, prepares confidential correspondence, and assists in obtaining travel visas.
- Manages VP's calendar, keeps him/her informed of upcoming commitments and responsibilities, and follows up appropriately; ; composes and prepares correspondence and other documents., and compiles documents for travel-related meetings.
- Attends on-site and in-person meetings and training sessions.
- Ensures confidentiality of information; adheres to the AAA's information security and data privacy policies, procedures, and practices.
- Demonstrates regular, reliable, and predictable job attendance.
Eligibility
- Associate degree, 1 -3 years of progressive experience in an administrative support capacity, or an equivalent combination of education and experience.
- Strong written and verbal communication skills
- Intermediate proficiency in Microsoft Office (Outlook, Word, Excel)
- Familiarity with event planning and logistics management
- Knowledge of marketing principles and practices
- Ability to manage multiple tasks and priorities in a fast-paced environment
Salary/Stipend
