Details of the Job/Internship
Join there team at Preferred Square as an Executive Assistant to the Managing Director's Office, where you'll play a pivotal role in supporting our leadership team. With 2 to 4 years of experience, you'll have the opportunity to contribute to the smooth functioning of the MD's office by providing administrative and organizational support.
In this role, you'll be responsible for managing calendars, scheduling meetings, coordinating travel arrangements, and handling confidential correspondence. Additionally, you'll assist in preparing reports, presentations, and other documentation, ensuring accuracy and attention to detail.
Role and Responsibilities
- Calendar Management: Manage and maintain the Managing Director's schedule, including scheduling appointments, meetings, and conferences.
- Travel Coordination: Make travel arrangements for the Managing Director, including booking flights, accommodations, and transportation.
- Communication Management: Handle incoming and outgoing communications on behalf of the Managing Director, including emails, phone calls, and written correspondence.
- Documentation and Filing: Maintain and organize files, records, and documents, ensuring they are easily accessible and up-to-date.
- Meeting Support: Prepare agendas, take minutes, and distribute materials for meetings attended by the Managing Director.
- Administrative Support: Provide general administrative support, including preparing reports, presentations, and other documents as needed.
- Project Assistance: Assist the Managing Director with special projects and initiatives, coordinating tasks and ensuring deadlines are met.
- Relationship Management: Build and maintain positive relationships with internal and external stakeholders, including clients, partners, and vendors.
- Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
Eligibility
- Bachelor's degree preferred.
- Proven experience of 2-4 years as an executive assistant or similar role, supporting senior-level executives.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
- Flexibility and adaptability to changing priorities and situations.
- Attention to detail and accuracy in all work.
- Ability to work independently with minimal supervision.
