Archroma is hiring a Legal Assistant to join their office in Mumbai.
Role and Responsibilities
Calendar Management -
- Scheduling and managing the calendar of the General Counsel, scheduling meetings either virtual or physical on ad-hoc or recurring basis at a required frequency.
- Provide meeting forecast before vacations and public holidays
- Timely submission of response trackers with comments and reasons for declining, rescheduling or cancellation.
Administrative Support-
Support the General Counsel and members of the Legal team with:-
- Advance meeting room bookings at Basel and Mumbai;
- Assistance in call set up and with dial in;
- Coordination with internal and external stakeholders for the meetings with the stakeholders for meetings and conferences both internal and external;
- Dispatch and management of documents between Basel and Mumbai including coordination and follow up on the status of delivery;
- Execution of legal documents received from external lawyers for onward processing in courts including formatting, printing, stamping, notarization and dispatch;
- Travel Management.
- End-to-end travel management for the General Counsel, preparing travel requests, completing the request on the internal travel portal, coordinating with travel service providers for on-ground, hotel, and in-flight arrangements and preparing travel itinerary;
- Providing support to the Legal team with end-to-end coordination for their India visits, preparing invitation letters, ground transportation and hotel booking;
Monthly reimbursement claim
- Preparation of expense reports for the General Counsel
- Coordination with finance to resolve any queries or clarifications that may be sought;
Data Management
- Organize, and coordinate team meetings;
- Maintain minutes of the meetings;
- Manage and maintain a repository of legal documents;
- SPOC for the CLM tool for the Legal department mainly for resolving any user-related queries;
Eligibility
- Graduate from a recognized university;
- Additional qualification in law preferred;
- Conversant with applications such as PowerPoint, word, excel etc.
Salary/Stipend
Compensation details will be finalized during the interview process with the selected candidate.
