Details of the Job/Internship
DHL Group is hiring a Legal Assistant with more than 2 years of experience to join their office in Mumbai.
Role and Responsibilities
- Assist in preparing, printing, executing, and filing legal documentation such as letters, contracts, and other legal deeds and documents.
- Assist in closing contract formalities by coordinating with the senior management team, coordinators, and stakeholders across various departments.
- Prepare Contract Sheet Approval Forms and maintain liaison with departments for timely approval and signing of contracts.
- Assist in preparing monthly litigation reports, contingent liability reports, lease reports, and regularly update and report claims and legal notices filed against the company.
- Maintain updated records of litigation pending before various courts and forums across India, monitor upcoming case dates, coordinate with external lawyers for case status, and update litigation reports accordingly.
- Coordinate with Customer Service to obtain feedback on customer claims and assist in issuing appropriate responses.
- Maintain updated records of claims with DHL’s insurers.
- Coordinate with external counsels and consultants and monitor updates on assigned matters.
- Maintain records of invoices of external counsels and consultants, process payments by obtaining internal approvals, prepare payment vouchers, submit vouchers to the Finance Department, and follow up regularly.
- Provide monthly reports on invoices received and payments made to advocates.
- Maintain records, including hard and digital copies.
- Assist in day-to-day legal work and travel within city limits for submission of case papers or documents, assist company representatives in filing legal cases in courts, notary and attestation work, and other ancillary legal department tasks.
- Maintain statutory books and documents related to secretarial work and ensure safe custody of legal and secretarial documents.
- Prepare resolutions and minutes periodically as advised.
- Provide general administrative and paralegal support when required.
Eligibility
- Bachelor’s Degree or equivalent experience/qualification.
- Experience: More than 2 years.
