Details of the Job/Internship
The Coca-Cola Company is looking for a dynamic and highly motivated Paralegal, Legal Support Assistant, or coordinator who is mainly responsible for partnering with various legal departments and other internal and external stakeholders to provide project management support to the India & Southwest Asia Operating Unit (INSWA OU) legal function.
Role and Responsibilities
- Serves as an executive admin assistant to the Vice President, General Counsel – INSWA Operating Unit and Legal function.
- Overseeing the project management and administrative support strategy of the INSWA legal team.
- Managing all events, including team building and visits, visa logistics, and training sessions, managed by the legal and company secretary.
- Developing effective communication strategies to communicate with both internal (to the legal department) and external (to the business) stakeholders about INSWA legal requirements and priorities.
- Partnering with relevant stakeholders to manage the budget and other resources.
- Maintaining legal trackers, updating and validating them in partnership with various legal and business stakeholders.
- Liaise with Global teams for upkeep and maintenance of any legal data.
- Maintain old records & physical files for retrieval from storage.
- Global reporting process: Monthly and quarterly updates must be submitted within timelines, using data from the team with Outside Counsel (OC) spending each month.
- Assisting with the bottling agreements database and various authorizations.
- Working closely with Corp Secretary with ref to any Board Meetings and coordinate any relevant sessions.
- Providing accurate and timely financial record keeping for the department, including preparing, processing, and/or reconciling expense reports.
- Tracking the department’s budget, raising and facilitating purchase orders, invoices, Outside Counsel OC/Stipend for CW, etc.; approving in SAP and preparing budget status reports.
- Managing the Contract Management System (Apttus), providing related training, and sending quarterly reports on the agreements to the Finance Team.
- Coordinating with different stakeholders on the compliance management system.
- Supporting legal counsels in their efforts to communicate with business teams on various projects and other matters.
- Collaborating with legal assistants, legal trainees, and counsels to ensure a smooth workflow.
- Digital agenda of digitizing the legal function.
- Participating in regular meetings with the legal team.
- Providing effective, timely, and strategic support to legal department, including preparing business operating reports, and maintaining files, calendars, and databases.
- Creating, maintaining, and editing documents (contracts, templates, Preparing PowerPoint presentations, Excel spreadsheets, and Word documents).
- Leading the strategic thinking related to the delivery of legal services for the INSWA OU legal team.
- Maintaining adequate stamp papers for relevant business entities and executing all business agreements e2e.
- Collaborate with finance and team for audit requirements.
- Partner with Outside Counsel (OC) for regular litigation trackers and business updates. Ensure the Outside Counsel (OC) guidelines are in place globally.
- Collaborating with team members to ensure adequate administrative coverage and maintaining high confidentiality.
Eligibility
- A bachelor’s degree preferably in law, Commerce, Business Administration, Political Science or ra elated field is required.
- Minimum of 3-7 years of relevant working experience in a Law firm and/or in-house legal-related work as a Paralegal and/ or Executive Administrative Assistant.
- Ability to be highly organized and effective, handle multiple complex projects and carefully prioritize competing work assignments from many clients.
- Proficient in commonly used MS Office software such as MS Word, Outlook, Excel, and PowerPoint.
- With a strong sense of professional ethics, strong logical thinking, attentive, a positive attitude, a strong desire to collaborate with the department, a growth mindset, and a commitment to excellence and teamwork.
- Strong communication skills, including written and presentation; ability to influence various stakeholders, as well as familiarity with legal terminology, documentation, and a willingness to learn (and remain apprised of) new processes and technologies.
- Must feel comfortable working under pressure while managing multiple tasks and priorities, meeting deadlines, and handling sensitive and confidential information.
